Order sharing in Turvo

Sharing orders with your shipping partners in Turvo allows you to connect and collaborate in real time. Once sharing is enabled on an order, any updates you make to certain fields will automatically update the order in shared tenants as well. This gives your partners the most up-to-date information without having to manually contact them.

Enable sharing with your partners

Before sharing orders with your business partners, they must have their own Turvo tenant. You'll know that you are working with a connected Turvo tenant when your customer, carrier, or other account has a small blue Turvo icon in the lower right of their profile icon.

If a customer or carrier account does not have the blue Turvo icon, you have the ability to invite your business partners to join you in the Turvo network for free using our Self-service Networking feature! For more information around sending invites to your partners, see our article on Self-service Networking.

Important Note: Self-service networking is only available for customer and carrier accounts. If self-service networking isn’t enabled for your tenant and you’d like to invite your partners to join you on Turvo, reach out to Turvo Support. See our article to learn how to submit a support ticket.

Overview of how information is shared

When an order is shared in Turvo, a unique copy of that order is created for your shipping partners to view with information that is relevant to them, based on their experience (customer, logistics service provider, or carrier). If an update is made to shared information on an order in your tenant, that update will share with the other connected shipping partners on the order.

The basic sharing logic used to share orders among shipping partners can be described as “perspective sharing.” This means that when an order is shared, specific fields within an order change based on who is viewing the order, or according to the viewer's perspective. 

For example, a customer on an order typically does not need to know who the exact carrier is, because they are working with the logistics service provider (LSP) who takes care of finding a carrier to execute the order or the shipment created from the order. Therefore, when an order is shared from a logistics service provider to a customer, the LSP will appear as the carrier because from their customer’s perspective, the LSP is in charge of the order execution.

Order information shared by experience

Depending on the sharing method and the relationship with your partner, different order information is shared. Below, we’ve split the order sharing experience by relationship and tab of the order.

Logistics Service Provider <> Customer sharing

When an order is first created in your tenant, the only required fields are the Customer and ID fields. By entering the Customer field, one-way sharing from your tenant to the customer’s tenant is enabled by default.

Note: Once the order is shared with your customer, the order is editable in the customer’s tenant.

This means any changes made to the order in your tenant will share to the customer’s tenant. However, any changes made to the order by the customer in their tenant will not share back to yours.

The chart below displays the segment in your Turvo orders and how it is shared with your customers, once they’re added to the order and one-way sharing is enabled. For more information on order details, see our Managing advanced order details article.

Logistics Service Provider <> Carrier sharing

Adding a carrier to the Carrier segment of the Details tab will enable one-way sharing of the order between your tenant and the carrier’s tenant.

Note: Once shared, the order is editable in the carrier’s tenant.

This means any updates made to the other in your tenant will automatically update the order in the carrier’s tenant. However, any updates made to the order in the carrier’s tenant will not share back to your tenant.

Once the carrier is added to your order and one-way sharing is enabled, the following information will be shared:

Logistics Service Provider as Carrier sharing

Adding your organization as the carrier on the order and toggling on Sharing will enable bi-directional sharing between your tenant and the customer’s tenant.

Bi-directional sharing means that any updates made to the order within the customer’s tenant will share back to the copy of the order within your tenant. Bi-directional sharing can also be enabled by adding your tenant as an Other account on the order, or adding a location as a stop on the order that your tenant is associated with.

Once bi-directional sharing is turned on, the following fields will be shared to customer accounts and back to the LSP when changes are made in the customer tenant:

Other order tabs sharing

Shipment tab

Shipments associated with the order will be shared with other tenants based on shipment sharing logic. For more information on order sharing, see our Understanding shipment sharing in Turvo article.

Timeline tab

The Timeline tab on an order captures important activity and changes as the order moves throughout its journey. When the order is shared with your LSP, carrier, or other accounts, the exact information is shared.

Note: Updates made by users outside of the tenant the order is being viewed in will show as “Turvo System Bot”.

Documents tab

The only documents shared with customer accounts on an order are the Bills of lading. All other document types are not shared.

Notes tab

Notes added to an order will only share to other tenants if sharing is enabled on the note itself. To enable sharing on your notes, hover over the note and click the lock icon. Then, select the appropriate accounts from the drop down menu and click APPLY to save your changes.

Contacts, Sharing, and Workbench tabs

The information shown in the Contacts, Sharing, and Workbench tabs of an order are not shared with customer, carrier, or other accounts associated with the order.

Vendor sharing

Vendor sharing is enabled through the order’s Sharing tab. For more information on enabling sharing on orders and shipments through the Sharing tab, see our How to share shipments and orders with partners article.

From the Sharing tab, you can share to any account using the Vendor role. Accounts shared on an order with a Vendor role will be able to see all of the order fields except the accounts associated with locations or IDs, and the Costs block. Information from the Notes, Contacts, Sharing, and Workbench tabs will also not share.
