How to filter shipments

On the Shipments page, you can apply filters to quickly view the shipments that are most important to you. You can also save frequently used filters for future use.

This article covers how to:

Apply a filter

Follow the steps below to filter the shipments shown on the Shipments page.

  1. On the Shipments page, click the Filters icon in the upper right corner to expand the filter modal.

  1. Then, fill in the fields you'd like to filter your shipment view by. These options are detailed in the Default shipment filter options and Adding More filters sections below.
  2. Once you’ve selected the fields which you want to filter shipments by, click APPLY. Now, only shipments matching all the chosen criteria are displayed. 

For example, if you choose a Date range of Pickup Today, and the Status Is Covered, then only shipments that have a pickup for today’s date and are in the Covered status are shown.

Save a shipment filter

Do you filter by the same criteria in shipments regularly? Save filters to quickly apply them when you need to. After filling in all of the applicable fields, click Save as… in the bottom right corner.

Type in a name for your filter, then click the checkmark icon to save. If you change your mind, click the arrow icon to undo the action and not save the filter.

Next time you want to apply your saved filter, click My filters next to the filter icon in the top right corner of the Shipments page. This displays all of your saved filters. Select the one you want to quickly apply to your shipments.

View the applied filter

Once a filter is applied, the criteria used to filter shipments is displayed at the top of the Shipments page.

In the example above, the shipments page is being filtered by three criteria: Date range, Status, and Origin. The Date range is a pickup date between June 29, 2020 and July 5, 2020, the shipment status is Status (Exclude Route complete), which means all shipments in any status except for the status Route complete are shown, and the Origin is Sunnyvale, CA, or any origin location within 100 miles of Sunnyvale due to the chosen search radius. The result(s) on the right shows the total number of results that fit the criteria.

Click clear on the right side to remove the filter. To edit the applied filter, click the filter icon to add to or remove the existing criteria.

A filter remains until it is cleared or edited and reapplied. Even if you sign out and log back in, the last filter you applied to the Shipments page remains.

If you cannot find a shipment you are looking for, look at the applied filter and clear or edit the filter to adjust what is displayed.

Default shipment filter options

Each Shipments page filter field is described in the subsections below. 

Shipment type

Use the Shipment type drop-down to filter for shipments by their type. Select from Warehouse shipment or Transportation shipment. You can select only one.

Date range

The Date range filter allows you to filter for shipments where the selected date type falls within the selected date range. For example, you can use this to filter for shipments where the Actual delivery date was within the last month.

Note: The date types correspond to fields in the Route segment of the shipment’s Details tab. See our article, Understanding dates and times on a route, to learn more about the date types.

Use the Date range drop-down to select one of the following date types to filter shipments by: 

  • Actual pickup date
  • Actual delivery date
  • Planned pickup date
  • Planned delivery date
  • Requested pickup date
  • Requested delivery date
  • Pickup appointment date
  • Delivery appointment date

Then, create a custom date range using the calendar tool, or click the drop-down menu and choose from the following: 

  • Today
  • Past week
  • This week
  • Next week
  • Past month
  • This month
  • Next month

To create a custom date range, click each field to select a date from the calendar, or type in a date with the format mm/dd/yy.

Shipment ID

Use the Shipment ID filter by typing in a shipment ID to search for matching IDs. Choose a matching shipment ID from the results shown below the field. Use the field multiple times to filter for shipments with the selected Shipment ID numbers.

Protip: If you’re copying and pasting a list of IDs into the Shipment ID field, each ID can be separated by commas or spaces.

Click the X on a selected shipment ID to remove it from the filter.

Status

Use the Status field to filter for shipments that are or are not in the selected status(es). Use the Is/Is not toggle to filter for shipments that are or are not in the selected status(es). 

Click the text field and use the drop-down, or start typing a status name into the field to narrow the list, to select applicable statuses. Add one status or all that apply. 

Click the X on a selected status to remove it from the filter.+

Billing Status

Use the Billing status field to filter for shipments that have one of the selected billing statuses.

Unlike the main shipment status feature, the billing status is an automated feature that Turvo updates based on the progress of the shipment, documentation uploads, and customer billable and carrier payable invoicing activity. See our Understanding your shipment's billing status to learn more about billing statuses and our Configure required document rules for customer invoicing article to learn more about enabling the feature.

Click the text field and use the drop-down, or start typing a billing status name into the field to narrow the list, to select applicable billing statuses. Add one status or all that apply.

Click the X on a selected status to remove it from the filter.

Customer or Carrier

You can filter for shipments for specific customer accounts or that are assigned to specific carriers using the Customer and Carrier filters.

Use the Is/Is not toggle on either field to indicate that the filter should only include shipments for the selected customer(s)/assigned to the selected carrier(s), or should exclude shipments that are connected to those accounts. 

Use the text fields to type the name of a customer or carrier account, then select an account from the results shown below. Select all customers and/or carriers that apply.

Note: If both filters are used, only shipments associated with one or more of the selected customer accounts and with one or more of the selected carrier accounts are shown.

Click the X on a selected customer/carrier account to remove it from its respective filter.

Offer status

Note: This filter option only appears while in the Shipments > Plan page.

Use the Offer status field to filter for shipments in the Plan phase that do or do not have offers with the selected status. 

Use the Is toggle to filter for only those shipments with an offer in the selected status or the Is not toggle to filter for all shipments excluding those with an offer in the selected status. 

Use the drop-down to select one of the following offer statuses:

  • Accepted
  • Expired
  • Open
  • Pending 
  • Rejected
  • Withdrawn

Customer or Carrier account owners

Use the Customer account owner and Carrier account owner fields to filter for shipments associated with the selected customer or carrier account owners. 

In each field, use the text field to type in the name of a user in your tenant, then select from the matching results shown below. Select all customer or carrier account owners that apply. 

Once applied, the results only include shipments associated with customer or carrier accounts which are assigned to one or more of the selected users.

Note: If both filters are used, only shipments where both a customer account and carrier account are assigned to the selected account owner users are shown.

Click the X on a selected account owner to remove it from its respective filter.

Filtering by locations associated with the shipment

Use the Origin/Destination city, state, country fields to filter for all shipments originating or ending in a selected region or the Origin/Destination location fields to filter for shipments associated with specific pickup or delivery locations.

Note: If both origin and destination filters are used, only shipments with both an origin and destination within the selected regions are shown.

Filtering for shipments by origin or destination region

Use the Origin city, state, country and Destination city, state, country fields to search for shipments that begin or end at any pickup or delivery location within a selected city, state, or country. Use the provided text fields to type in the name of a city, state, or country, then select from matching results shown in the drop-down below. Select all cities, states, and/or countries that apply.

Click the X on a selected location to remove it from its respective filter.

Filtering for shipments with origins or destinations within a radius

Both the Origin city, state, country and Destination city, state, country fields have a Search radius field connected to them. When used in conjunction with your selected cities, states, and/or origins, you can filter for all shipments with origins or destinations within a selected distance of the selected location(s).

For example, if the chosen Origin city, state, country is Sunnyvale, CA, USA and the Search radius (mi) is 100 miles, then all shipments with origin locations within 100 miles of Sunnyvale are shown. 

Note: You can only filter by one origin/destination radius at a time. If you enter multiple cities/states/countries in the field, the Search radius field disappears.

Filtering for specific locations

Use the Origin location and Destination location fields to filter shipments that start or end at specific pickup and/or delivery locations. 

Use the provided text fields to type in the name of an existing location in Turvo, then select from matching results that appear below. Select all that apply.

Click the X on a selected location to remove it from its respective filter.

Tags

The Tags field allows you to filter for shipments with one or more of the selected tags assigned to them. For example, you may want to see all the shipments that have the tag #HotShipments.

Use the text field to type in the name of a tag, then select from the matching results that appear below. Select all tags that apply. 

Click the X on a selected tag to remove it from its respective filter.

Visibility groups

Use the Visibility Groups field to filter for shipments that are or are not associated with the selected visibility group(s). 

In the text field, type in the name of a group, then select from the matching results below. Select all that apply. If a shipment is associated with at least one of the selected groups, that shipment is included or excluded in the results, depending on your Is/Is not selection.

Click the X on a selected group to remove it from its respective filter.

Mode

Use the Mode filter to include or exclude shipments with at least one route segment transported in the selected mode(s). 

Use the Is/Is not toggle, then use the drop-down to select applicable modes. Select all that apply.

Click the X on a selected mode to remove it from its respective filter.

Note: The drop-down includes all service types associated with each mode. Select the Any option under a mode to include all shipments with a segment with that mode, or select a specific service type. For example, select TL - Any to include all truckload shipments, or select TL - Expedite to include only expedited truckload shipments in the filter’s results.

Posting status

Use the Posting status toggle to indicate whether you want to filter for shipments that have an Active or Inactive post to your carrier network(s).

Add More filters

Looking to filter by data that is not a default option? There are many more filters to choose from beyond the default collection that are visible. To reveal more available filter criteria, click More filters.

Important note: Only four additional filters can be added to the Shipments page at a time.

This adds an additional line. Click the field to choose from the many options in the drop-down menu. Once an option is selected, complete the applicable field.

If multiple additional filters are needed, continue to click More filters to add filters. Click the x to the right side of a line to remove an additional filter.

Asset number, VIN, or license plate

This filter allows you to view shipments based on the identification numbers assigned to the assets on the shipment. 

Use the field to type in an asset’s ID number and select from matching results below. Select all that apply.

Booking number

Use this filter to view shipments based on the Booking ID attached to appointments on the shipment. 

Type a booking number in the text field and press the Enter key to add it. Add all the IDs that apply. 

Note: The IDs must be an exact match to show results.

Broker

Type in a user’s name and select from matching results below to filter for shipments where the selected user(s) are marked as the shipment’s broker. Select all that apply.

Carrier IDs / Customer IDs

Use these filters to view shipments based on the external IDs that are visible to the shipments’ carriers or customers, respectively. 

  1. Use the ID type drop-down to select the applicable ID type.
  2. Use the Is/Contains drop-down to filter for shipments where the Carrier or Customer ID either:
    1. Is: Matches the entered value exactly, or;
    2. Contains: Contains the partial value that you input in the text field.
  3. Type in a complete or partial Carrier or Customer ID in the text field and press the Enter key to add it to the filter. 
    1. Add all IDs or partial IDs that apply. 

Carrier assignment reserved?

Click the Yes/No toggle to filter for shipments that are or are not currently reserved from assignment to carriers.

Container number

Allows you to filter for shipments based on the shipping container number(s) associated with them. 

Type in the container ID number in the text field and press the Enter key to add it. Multiple container IDs can be added.

Note: Only exact matches will appear in the results. 

Created by

Use the Is/Is Not toggle and the provided field to filter for orders that were created by the selected user(s) on your Turvo tenant.

Date types

These options allow you to filter shipments based on other types of milestone dates in the shipment lifecycle beyond those provided in the Date range filter. Select from:

  • Carrier invoice date: The date the carrier invoice was provided.
  • Create date: The date the shipment was created in your Turvo tenant.
  • Customer invoice date: The date that you invoiced your customer.
  • Customer paid date: The date the customer paid off the shipment invoice in full.
  • Cut off date: The date that the loaded shipping container must be delivered to the terminal in order to meet the carrier vessel’s departure time.
  • Earliest Return Date (ERD): The earliest date that the loaded shipping container can be delivered to the terminal for export.
  • Empty container pickup: The date that the empty shipping container is due to be or was picked up pre-shipment.
  • Empty container return: The date which the empty shipping container is due to be returned or was returned after shipment completion.
  • ETA for container at Port/Terminal: The date the shipping container is/was due to arrive at the destination port or terminal.
  • Full ingate date: The date that the drayage shipment was fully ingated.
  • Full outgate date: The date that the drayage shipment was fully outgated.
  • Last free day: The last free day at the destination port or terminal that the container can be held before demurrage fees are applied.
  • Loading date: The date that the shipping container was/is due to be loaded onto the SSL’s vessel.
  • Per Diem start date: The date that per diem charges (demurrage) will begin/started on the shipment.
  • Updated date: The date that the shipment was last updated in your Turvo tenant.

Use the drop-down on each filter to choose from a preselected time period or use the calendar tools to select a date range.

Delivery/Pickup appointment confirmation

Use these filters to view shipments that have or have not received confirmation on their delivery or pickup appointments. Use the Yes/No toggle on each filter.

Driver

Use this filter to view shipments with specific drivers assigned to them. Type in the name of a driver and select from matching results shown below.

Equipment needed/Equipment used

Use these filters to view shipments with specific equipment types listed in their Equipment needed or Equipment used fields. 

Use the text field to type in an equipment type’s name and select from matching results shown below. Select all that apply.

Exception/Exception reason

To search for shipments based on the types of attached exceptions, you must first select an exception type or types in the Exception filter. 

Then, if desired, use the Exception reason/EDI code filter to select from reason codes that are configured for the selected shipment exception types in the Exception to Reason Code (EDI) Linkage section of Admin console > Settings > Shipments. Only reason codes that have been mapped to the selected types are shown.

Protip: When multiple exception types are selected in theException filter, the available reason codes in theException reason/EDI code filter are separated with a header in grey text. If two exception types share the same reason code, the code is duplicated in both exception types’ sections of the drop-down.

Note: If you do not select an exception type in theException filter, no results are shown in theException reason/EDI code filter.

Exception status

Use the drop-down to to view shipments with an attached exception in a specific status. Select all that apply from Created, Valid, or Invalid.

Favorites

This filter allows you to view only shipments that are marked as Favorites for your account. Use the toggle to select from All or My Favorites.

Has exception? / Has task? / Hazmat

Use the Yes/No toggles for Has exception, Has task, and/or Hazmat to filter for shipments that respectively do or do not:

  • Have an attached exception, regardless of the exception type.
  • Have an attached task.
  • Contain an item that is marked as a hazardous material.

Hold category & Holds type

Use the drop-downs to filter for shipments with a hold placed on them of the selected category and/or type.

  • For Holds category, select all that apply, or select Any to include any shipment with a hold, regardless of the category.
  • For Holds type, select all that apply, or select Any to include any shipment with a hold, regardless of the category.

When used together, the shipment must have a hold that matches both the category and type.

IDs - BOL #

Use this filter to view shipments based on the Bill of Lading (BOL) ID number associated with them.

  1. Use the Is/Contains drop-down to filter for shipments where the BOL # either:
    1. Is: Matches the entered value exactly, or;
    2. Contains: Contains the partial value that you input in the text field.
  2. Type in a complete or partial BOL # in the text field and press the Enter key to add it to the filter. 
    1. Add all IDs or partial IDs that apply. 

Is Incomplete Multi-leg shipment?

For tenants using the multi-leg shipment feature, use the Yes/No toggle to filter for shipments that are or are not part of an incomplete multi-leg shipment.

Item Dates - Best by date / Code date / Expiration date / Production date / Slaughter date

These filters allow you to view shipments that contain items with added date type attributes that match the selected filter and where that date falls within the selected date range. 

Use the drop-down on each filter to choose from a preselected time period or use the calendar tools to select a date range.

Note: These date type attributes are added in the item’s Details > Overview > Units of Measure section. 

Item name

Use this filter to view shipments that contain an item with a name that matches one of the selected names.

Click the text field to type in an item name and select from matching results shown below. Select all that apply.

Item reference value

Items in Turvo can have multiple types of ID numbers, which can be used with different customers. Use this filter to view shipments with items that have a reference value of the selected type that either match or contain the entered value.

  1. Use the first drop-down to select an Item reference type
    1. Only one can be selected.
  2. Then use the Is/Contains drop-down to filter for shipments that contain items with a reference number of the selected type that either: 
    1. Is: Matches the entered value exactly, or;
    2. Contains: Contains the partial value that you input in the text field.
  3. Type in the full ID or partial ID in the text field to the right. Hit the Enter key to add a full or partial ID. 
    1. You can add multiple IDs or partial IDs.

Items #

Use this field to filter for shipments that contain at least one item with an item ID number that matches or partially matches an ID number a value entered into the provided text field. 

  1. Use the Is/Contains drop-down to filter for shipments with an item where the Item ID # either:
    1. Is: Matches the entered value exactly, or;
    2. Contains: Contains the partial value that you input in the text field.
  2. Type in a complete or partial item ID in the text field and press the Enter key to add it to the filter. 
    1. Add all IDs or partial IDs that apply. 

Protip: Item ID numbers can be found by finding the item’s Item ID field in the Summary tab or the Details > Overview > IDs section.

MBOL

This field allows you to filter for shipments that match the Master Bill of Lading (MBOL) number(s) that you input into the text field.

Type in a complete MBOL ID in the text field and press the Enter key to add it to the filter. Add all IDs that apply.

Operator

Type in a user’s name and select from matching results below to filter for shipments associated with the selected Operator users. Select all that apply.

Other account

Use the Is/Is not toggle and the provided text field to sview shipments that are or are not associated with specific Other accounts in your tenant. Select all that apply.

Parent account

Use the Is/Is not toggle and the provided text field to view shipments that are or are not associated with a specific Parent account in your tenant. Select all that apply.

Quote ID

This filter allows you to view shipments with the selected quote IDs or with quote IDs that contain a match to a partial ID.

  1. Use the Is/Contains drop-down to filter for shipments where the Quote ID field either:
    1. Is: Matches the entered value exactly, or;
    2. Contains: Contains the partial value that you input in the text field.
  2. Type in a complete or partial quote ID in the text field and press the Enter key to add it to the filter. 
    1. Add all IDs or partial IDs that apply. 

Responsible party

Use this filter to view shipments with an attached exception where the Responsible party field matches one of the selected items in the drop-down. Select all that apply.

Route number

This filter allows you to view shipments with the selected route IDs or with route IDs that contain a match to a partial ID.

  1. Use the Is/Contains drop-down to filter for shipments where
    1. Is: Matches the entered value exactly, or;
    2. Contains: Contains the partial value that you input in the text field.
  2. Type in a complete or partial Route ID in the text field and press the Enter key to add it to the filter. 
    1. Add all IDs or partial IDs that apply. 

Scheduling type

Use the Is/Is not toggle and the drop-down to view shipments that have pickup or delivery appointments on their route that include or exclude the selected scheduling type(s).

Steamship line

Use this filter to view drayage and ocean shipments based on the Steamship line that transported the shipping container.

Type in a steamship line name and select from the matching results below. Select all that apply.

Stops at

Use this filter to view shipments with a stop on its route at the selected location, regardless of whether the location is a pickup or delivery location for the shipment.

Use the text field to search for matching results. Only one location can be selected.

Terminal info

Use this filter to view shipments based on the terminal ID associated with them.

  1. Use the Is/Contains drop-down to filter for shipments where the Route ID either:
    1. Is: Matches the entered value exactly, or;
    2. Contains: Contains the partial value that you input in the text field.
  2. Type in a complete or partial quote ID in the text field and press the Enter key to add it to the filter. 
    1. Add all IDs or partial IDs that apply. 

Time delayed (min)

This filter allows you to view delayed shipments based on the time delay, in minutes, on the shipment by creating a range that the delay must fall within.

Use the drop-down to select whether the delay Is greater than or Is less than the number of minutes entered in a single text field, or select between and enter a minimum and maximum number of minutes that the delay falls between. 

Trackable?

Use the Yes/No toggle to filter for shipments that are or are not eligible for tracking via a tracking provider.

Tracking provider

Use the drop-down to filter for shipments that are/were tracked with the selected tracking provider(s). 

Select all that apply.

Tracking?

Use the Yes/No toggle to filter for shipments that are or are not tracked via a tracking provider.

Truck ID

Use this filter to view shipments based on the Truck ID associated with an asset assigned to them.

  1. Use the Is/Contains drop-down to filter for shipments where the Truck ID either:
    1. Is: Matches the entered value exactly, or;
    2. Contains: Contains the partial value that you input in the text field.
  2. Type in a complete or partial Truck ID in the text field and press the Enter key to add it to the filter. 
    1. Add all IDs or partial IDs that apply. 

Filter by Additional attributes

Are you using Additional attributes in your tenant? Check out our Understanding additional attributes to learn more about adding Additional attributes to your shipments. Up to five Additional attributes can be added to the More filters drop-down menu to help you filter shipments even further. For example, if your tenant has Additional attributes for Cost center, Delivery type, and Priority, these could become filterable criteria.

Contact your Turvo representative to add Additional attributes to your tenant’s shipment filters.

Protip: When sharing a shipment between two tenants that use the same Additional attributes, users on the receiving tenant can filter by the Additional attributes configured for filtering on their tenant, even if the original tenant does not have that attribute configured for filtering. For example, if your tenant has Customer Group enabled as a filterable Additional attribute, and a shipment with that attribute is shared with you from a tenant that does not have it enabled for filtering, you are still able to filter by Customer Group and find the shipment.
