Create and update quotes

By starting a rate quote in Turvo, you can find a carrier, send rate confirmations, and update the quote or shipment status in a way that is transparent across your entire organization. Even when a request for a quote is received via traditional methods such as email, phone or fax, we highly recommend documenting this information in Turvo as well.

This allows each won or lost opportunity to be historically tracked across your organization empowering you to make more informed decisions and over time track the success of your quotes.

This article covers:

How to create a new quote

    2. Mode: By default, the quote is selected as a full truck load (TL) shipment. To switch to another mode, use the drop-down and choose the mode you want. LTL quotes require more detail to create, outlined in the LTL quotes only section below.
    3. Service type: Choose whether the quote specifically needs Expedite or Standard service. It defaults to Any, unless otherwise specified.
    4. Equipment: Select the relevant equipment details for the shipment (van, flatbed, refrigerated, auto rack, etc.).
    5. Cost: Enter costs associated with the shipment.
    6. See historical rates: Once a pickup and delivery location is entered, the See historical rates link changes from grey to blue. When clicked, you’ll be redirected to the Lane Performance summary in Turvo Analytics with all of the appropriate filters applied.
      1. Note: This feature is only available for Turvo Analytics customers. If you’re interested in enabling Turvo Analytics for your tenant, reach out to your Turvo representative.
    7. Pickup/Delivery Location: Select the location where the shipment is being picked up and dropped off. Locations that have already been created appears in the dropdown. 8. Requested pickup/delivery dates: Select the shipment’s requested pickup and delivery dates.
      1. Protip: See our article, Understanding dates and times on a route to learn more about date types in Turvo.

Protip: You can create a quote for any mode. The amount of required data differs slightly to support what is mandatory to quote for the given mode of transport. If you are creating an LTL quote, proceed to the section below. If you are creating a quote for another mode, proceed to the Final step.

LTL quotes only

For an LTL shipment, you need to enter additional information:

  • Customer: Select the customer to which you are providing the quote. Only customers that have already been created appear in this dropdown. For steps to create a customer, see our article on How to create a customer.
  • Mode: By default, the quote is selected as a full truck load (TL) shipment. To switch to a less than truckload (LTL), select LTL from the drop-down menu.
  • See historical rates: Once a pickup and delivery location is entered, the See historical rates link changes from grey to blue. When clicked, you’ll be redirected to the Lane Performance summary in Turvo Analytics with all of the appropriate filters applied.

  • Requested Pickup/Delivery dates: Select the shipment’s requested pickup and delivery dates.
  • Item Details: Enter the name of the item to be shipped, the quantity (Qty) of that item, and corresponding unit of measure. Additionally, you are required to enter the weight in pounds (lbs), the class of freight that is to be used to ship, and the length (L"), width (W"), and height (H") in inches. The National Motor Freight Classification (NMFC) # is optional.
  • More than one item can be added through the + Add item option.

Note: There is no option to add costs to an LTL quote on this screen. Costs need to be updated later, after the quote has been created.

Final step

Once all required information is filled out, the CREATE button changes from grey to blue.

  1. Click CREATE and the quote is created.
  2. You are taken to the quote summary page where additional detail can be added such as addition costs, items to be shipped, contacts, etc. Existing quotes appear under Shipments > Quotes in the left navigation menu or can be found by searching for the quote number in the global search bar at the top of the screen.

Protip: When a quote is created, it has a Q appended to the front of the Quote ID, so it is easy to distinguish quotes from shipments.

How to update existing quotes

Moving a quote to a live shipment

When you are ready, you can migrate a quote to a shipment by updating the status to Tendered. This changes the quote to an active shipment and assign it a Shipment ID. To move a shipment to Tendered, complete the following steps:

  1. Locate the quoted shipment in Turvo by searching for the Quote ID in the global search (e.g, Q12345) or locate the quote card by navigating to Shipments > Quote.

  1. Select the Fast Action Button (or FAB) in the bottom right corner of the quote details page or quote card and select Post update.

  1. Change the status to Tendered and enter a description (e.g., Rate quote accepted). Once complete, select SAVE to apply your changes. The Shipment ID then changes from a Quote ID to a Shipment ID, and the shipment moved to the Plan phase.

Moving a quote to inactive

If a quote is rejected, expired or lost, the status should be changed to Quote-inactive in Turvo. This allows you to record quotes for shipments that are not being moved without keeping them in an active state (where someone else from your organization might inadvertently start working on the shipment). To move a shipment to Quote-inactive, complete the following steps:

  1. Locate the quoted shipment in Turvo by searching for the Quote ID in the global search (e.g, Q12345) or locate the quote card by navigating to Shipments > Quote.
  2. Select the Fast Action Button (or FAB) in the bottom right hand corner of the quote or quote card and select Post update.
  3. Change the status to Quote-inactive and enter a description (e.g., waiting on response, rate too high, etc).
  4. Once complete, select SAVE to apply your changes.
