Managing commission owners and additional commission users on a shipment

Over the course of a shipment, there may be a need to update the commission details due to unique circumstances for that shipment, such as another sales representative stepping in to fill in for an unavailable account owner that usually manages a customer’s shipments.

To account for this and other scenarios, Turvo provides the ability to update a shipment’s commission details before the shipment reaches the Bill phase and is only available to Admin, Super Admin, and Financial Admin users using the Commissions section of the shipment’s Details tab.

Understanding accounts and commissions

For Turvo’s broker users, it is important to distinguish between the terms used for users in your tenant and how they relate to accounts and commissions.

Account owners

Customer and carrier accounts have an Account owner, which is the user in your tenant that manages your relationship with the customer or carrier, such as the sales representative that works with the customer or the user that manages accounts with your carrier partners.

The account owner is configured in the customer or carrier account’s Details > Account owner section. The account owner is often also a commission owner for the accounts’ shipments, but that may not always be the case.

Commission owners

The Commission owner is a user on a shipment who receives commissions for shipments associated with the customer or carrier account by default. These users and their default commission percentage are configured in the Details > Commissions sections of the shipment’s customer and carrier accounts.

Customer commission owners are automatically applied upon shipment creation and carrier commission owners are applied once the carrier is assigned to the shipment.

Important notes:

  • Only the commission percentages that a commission owner receives and Commission Status can be updated from within the shipment on a per-shipment basis.
  • Commission percentages cannot be changed once the shipment reaches the Bill phase.
  • Commission owners cannot be removed from the shipment.
  • Updating commission details for a commission owner on a specific shipment does not impact the commission owner’s settings in the customer or carrier account.

Commission users

A Commission user is a user, other than the default commission owners, that are configured to receive commissions for a specific shipment. This is usually due to unique circumstances of a specific shipment.

Important note: You can only add commission users to a shipment before it reaches the Bill phase.

These users are configured in the shipment’s Details > Overview > Commissions section, as described in the sections below.

Note: Adding a new commission user to a shipment does not add the user to the commissions settings on the carrier and customer account, this added user is only tied to the shipment. Likewise, a new commission user is not added to other shipments for the assigned customer or carrier.

Managing commissions on a shipment

To add a commission owner or update an existing commission owner on a shipment:

  1. Navigate to a shipment, either by hovering over the left navigation and clicking Shipments to see all of the shipments shared with you, or by searching for the shipment in the global search bar.

  1. Once in the shipment, navigate to the Details tab. Click the Overview > Commissions section header to expand the section.

  1. Commission owners and users already added to the shipment are displayed. If no commission owners are attached to the shipment’s customer or carrier accounts, the fields displayed are blank.
    1. On a shipment with existing commission owners, click + Add commission at the bottom of the section to add a new commission user to the shipment.

Important note: Changes to the Commissions section of the shipment can only be made before the shipment reaches the Bill phase.

  1. Use the provided fields to update the existing commissions for the shipment or to add details to the new commissions user you are adding:
    1. Account owner: Enter the name of the user who will receive the commission for the shipment.
      1. Note: This does not affect the account owner(s) configured for the customer or carrier account.
    2. Commission %: The commission percentage the commission owner/user receives for the shipment. Click on the text field and type in a new percentage.
    3. Account type: Use the drop-down to select which account type on the shipment for the commission owner/user should receive a commission. Select from Customer or Carrier.
    4. Account name: This field indicates the specific account the commission is tied to. The selected account must match the entered Account type (e.g., if the commission is for the Customer account type, a customer account must be entered here).
    5. Commission status: Indicates the status of the commission payment for the commission owner/user. Use the drop-down to change the status to Paid, Not paid, To pay, or Don’t pay. When the Commission status is set to Paid, the following two fields also appear:
      1. Commission posting date: Use the calendar tool to set the date which the commission payment was posted.
      2. Commission: The commission amount paid to the commission owner/user.
  2. When you are finished adding commission users or updating commission owners, click SAVE at the bottom of the section to apply the changes.
    1. If adding a commission user to the shipment for the first time, you can now update the commission owners’ percentages.

Viewing commissions data

If you need to view commission data for multiple shipments, you can use the Commission Report found in Reports > Commissions. See our article to learn more.

Note: This report only shows data for commissions tied to customer accounts.

Managing commissions editing permissions

Permission rules for roles that can manage the commissions on a shipment are managed in Admin Console > Roles & Permissions > Roles. The Admin, Super Admin, and Financial Admin roles have permission to View & Edit the Commissions section by default.

See our to learn more about managing permissions for user roles.
