Enabling location link and Turvo link features for your tenant

Turvo’s location links and Turvo links features give you the ability to manually or automatically share your shipment information with interested parties via emails containing pertinent shipment information.

When sending these emails, you may wish to include extra information, such as exceptions that are on the shipment or a note for the recipient explaining the shipment’s status. In this article, you’ll learn more about what location links and Turvo links are and how to configure options for them.

Location links vs Turvo links

Location links provide shipment updates specifically to locations contacts that are expecting an upcoming pickup or delivery for the shipment. Location links can include additional information for certain locations or limit the shipment information shared to information that’s relevant only to that location. These options can be configured for each location, each one must be enabled in the Admin console before they appear in your location profiles for selection.

Note: In the Turvo user interface, the two location link types are referred to as Pickup links and Delivery links. This article reflects those shortened names.

Meanwhile, Turvo links can be sent to any shipping partner contact that may have a stake in the shipment, regardless of whether they are part of your Turvo network. Turvo links are the best way to share shipment information with contacts that do not have a Turvo account.

Options for Turvo links are enabled in the Admin console, but do not require further direct configuration.

Enabling the location link & Turvo link features for your tenant

The location link and Turvo link features are enabled for your tenant by Turvo Support, but the configuration of information to include or exclude from the location link requires manual configuration on your tenant. This is a three step process, outlined briefly below:

  1. Contact your Turvo representative to request the enablement of the location link/Turvo link feature for your tenant.
    1. Note: Once enabled by Turvo Support, you can immediately start to use both features, as detailed in our Sending a pickup or delivery location link manually and How to create and send Turvo links articles.
  2. If you’d like to include exception information in location links, or if you’d like to shipment status notes for either kind of link, a user with Admin-level permissions must toggle on the tenant-level settings.
    1. The Turvo link settings are immediately applied to all Turvo links without additional configuration.
  3. Once the location link settings are unlocked, each individual location needs to be configured to receive exception information and/or shipment status notes in their links.

Configuring location links and Turvo links in the Admin console

Once the Turvo links and location links features are enabled for your tenant, users with Admin-level permissions and above can configure their preferences for what is shown in each kind of link.

To access and configure these toggles:

  1. Click the Profile icon and select Admin console from the drop-down menu.

  1. Click the Shipments section header to expand the section.
  2. Click the Share links segment header to open sharing settings for delivery links and Turvo links.

  1. Use the toggle at the top to select which type of link to configure. The options shown in the section change to reflect the selected link type.
    1. Click Delivery links to configure delivery location links. 
    2. Click Pickup links to configure pickup location links.
    3. Click Turvo links to configure Turvo links.

Tenant-level location link settings

Important note: Unless otherwise specified, toggling on a location link setting in this section does not activate this setting for all corresponding location links. Instead, turning on one of the toggles listed below unlocks the corresponding setting at the location-level, found in the Locations > [Location] > Details > General section: 

  1. The location link configurations for delivery locations and pickup locations are shown by using the context switcher at the top of the section and selecting either Delivery links or Pickup links.

  1. When the corresponding location-level configuration is also toggled on, each of the following configurations allows for the different information to be included in the location links sent to consignees. Both pickup and delivery links have the same options, unless otherwise specified below. 
    1. Show exception: Relevant exception information is included in the location link.
    2. Show shipment status note: There are two types of notes that Turvo can share on the location link. This toggle controls the sharing of the second type listed below:
      1. Notes added in the Notes field while manually creating via the Create link modal are always shared, no matter your tenant- or location-level settings.

      1. When updating a shipment associated with location using the Fast Action Button (FAB), if the shipment update triggers an automatic link and the update contains notes:
        1. If this tenant-level toggle is OFF, the location-level toggle is locked and these notes are not shared to the location link created from the status update.
        2. If this tenant-level toggle is ON, but the corresponding location-level toggle is OFF, then these notes are not shared to the location link created from the status update.
        3. If both the tenant-level and location-level toggles are ON, then these notes are shared to the location link created from the status update. However, if no notes are added to the FAB during the shipment update, no notes are shared.

    1. Show secondary ID: The preferred secondary ID configured for the shipment customer’s account is included in the location link. The location link includes secondary IDs only for those customers with items being picked up from or delivered to that location.
      1. The shipment must have a secondary ID listed in its details that matches the preferred type.
      2. If no secondary ID type is set up at the customer-level, the tenant-level secondary ID is shown instead, if a secondary ID of that type is in the shipment’s details. 
      3. If the shipment does not have a secondary ID matching the customer-level or tenant-level preferred secondary ID type, no secondary ID is shown.

    2. Show documents (Delivery links only): The delivery link includes the Documents tile, where the recipient can request access to customer documents relevant to the shipment being delivered to the delivery location.
      1. Documents are only included in delivery links if the shipment customer’s profile has toggled on the Share documents on public links setting on and selected document types are selected for automatic sharing to the customer.

        2. If there are no items being delivered for a customer at the location, no documents are included.
      2. Important note: Unlike the other settings found here, there is no corresponding toggle at the location-level.
      3. Note: Before enabling automatic document sharing, an email address must be configured for your organization in Admin Console > Company Profile. This address is used as the sender email in the document-sharing email. See our Configure your Company Profile article to learn more.
    3. Show items (Delivery location links only): The customers’ items in the shipment that are relevant to the delivery location appear in the delivery link. 
      1. If there are multiple customers, the consignees are shown all items for all customers with items scheduled for delivery at the location.
      2. If enabled, the location link contains the Item name, Quantity/Units, and Handling Quantity/Units of the items in the shipment.
    4. Hide location updates: By default, location links show updates for all stops on the shipment. When this toggle is turned on, location links do not include updates for the other stops in the shipment’s route. The location’s contact only sees shipment stop updates relevant to their location. However, the information shown in the location link depends on the status of the shipment and whether the update is location-specific.
      Important Note: Unlike the other location link settings, this toggle only exists in the Admin console and applies to all locations if enabled.
      1. All stops are shown when the shipment is in the Ship phase, except for the Dispatched status and only for the last stop when the shipment is marked Route complete.
      2. Dispatched: Because this status is not tied to a location, the location receiving the location link does not see updates for other stops when this toggle is on.
      3. At pickup: This status is tied to a pickup location. 
        1. If there is a single delivery location tied to the pickup location, then only that delivery location sees the stop listed in the delivery link. 
        2. If there are no specific delivery locations linked to the pickup location, all delivery locations see all pickup locations in the delivery link.
      4. Picked up: This follows the same logic as At pickup
      5. En route: Once the shipment is marked En route, delivery locations only see stop updates relevant to that location.
      6. At delivery/Delivered: Once the shipment is marked At delivery or Delivered at a specific location, only that location sees updates for that location.
      7. Route complete: This is tied to the last delivery location on the route. Only the final delivery location sees the updates.
  1. Configure the toggles as needed and then click SAVE.
    1. Your selections in all three sets of configurations remain until you hit SAVE or CANCEL, even when switching between link types.

Note: If any of these the tenant-level settings were previously in the ON position, turning them off in the Admin console also turns off the corresponding toggles at the location level. If you toggle a setting back on after turning it off, any locations that previously had the corresponding toggle turned on also have that toggle reactivated. You do not need to go back and re-enable the setting in each location.

Turvo link settings

Important note:  Unlike the tenant-level location link settings, toggling on a Turvo link setting in this section does activate the setting for all Turvo links. Further configuration is not required.

To update your tenant’s Turvo link settings:

  1. Click the Turvo link button in the context switcher at the top of the Share links section. The following toggles for Turvo link configurations are shown:
    1. Show shipment status note: A Notes field is included when manually creating a Turvo link. Use this field to add notes regarding the shipment that are visible to the location’s contact.
    2. Show secondary ID: The preferred secondary ID for the shipment is included in the Turvo link.
      1. Customer account-specific secondary IDs are configured in the Customers > [Customer account] > Details > Settings > Shipment ID section. 
      2. If no secondary ID type is set up at the customer-level, the tenant-level secondary ID is shown instead.

      3. If the secondary ID type is set up at the tenant-level, but the customer’s account does not have a secondary ID of that type in its details, no secondary ID is shown.

  1. Configure the toggles as needed and then click SAVE.
    Your selections in all three sets of configurations remain until you hit SAVE or CANCEL, even when switching between link types.
  2. Your preferences are applied to all Turvo links created in the future. No further configuration is necessary.

Note: After any changes are made in Settings, an Update rules? pop-up appears. Since changing your tenant settings affects users throughout your tenant, you need to confirm want to make the changes.

You also have the option to force all users to refresh their tenant in order for the changes to apply. We recommend that you refresh your browser or log out and log back in to your tenant once your changes are complete for them to take effect for you as well.

Next steps:

Once your settings for location links and Turvo links are established in the Admin console, your next steps depend on the type of link you wish to send.

  • Location links:
    • Once your settings for location links are set in the Admin console, the corresponding settings are unlocked at the location-level in the Locations > [Location profile] > Details > General section. You must then set your preferences at the location-level for each location you send pickup or delivery links. 
    • While setting your location link preferences for a location, you can also set automatic triggers for location links for that location.

    • Once your settings for Turvo links are set in the Admin console, no further configuration is required. You can start sending Turvo links immediately. See our article on Creating and sending Turvo links to learn more.
